About ASCEND

ASCEND will see Community Sector Council Newfoundland and Labrador (CSCNL) partnering with community sector organizations in Nunavut and the Maritimes to deliver skills development and employment within the community sector to youth not in education, employment, or training (NEET). The project will also provide individualized supports including transportation and living expenses which will enable these youth to benefit more fully, developing the skills and gaining the experiences they need to find and keep quality jobs.

About this role

The Program Assistant will provide administrative and financial support for our employer-informed program that trains and employs NEET (Not in Education, Employment, or Training) youth across Newfoundland and Labrador, Nova Scotia, Prince Edward Island, and Nunavut. This program connects marginalized youth (ages 16-30) with skills training and employment opportunities in community sector organizations.

The Program Assistant plays a critical role in managing program logistics, supporting financial audits, tracking program expenditures, and assisting with the coordination of events and travel.

 

Key Responsibilities:

 

  • Financial Auditing & Support:
    – Track and audit program-related financial expenditures, including participant support costs, wages, travel expenses, and event costs.
    – Assist in preparing and submitting financial reports, ensuring accuracy and compliance with funding guidelines and organizational policies.
    – Maintain detailed records of all financial transactions related to the program, including invoicing, reimbursement requests, and budget tracking.
    – Support the processing of participant wage subsidies and stipends, working closely with finance teams to ensure timely payments.
    Assist in the preparation for internal and external audits, providing necessary documentation and supporting materials.
  • Administrative Support:
    – Provide day-to-day administrative support to the program team, including scheduling meetings, maintaining records, and organizing program files.
    – Assist in managing program communications, including coordinating outreach to community sector partners, employers, and participants.
    – Support data entry and management, ensuring participant and employer information is up to date in the program’s database.
    – Prepare program materials, reports, and presentations for internal and external stakeholders.
  • Event Coordination & Travel Logistics:
    – Coordinate logistics for program events such as training sessions, workshops, employer-led site visits, and program graduations, both virtual and in-person.
    – Manage travel arrangements for staff, youth participants, and guest speakers, including booking transportation and accommodations as needed.
    – Assist in organizing virtual training sessions and meetings, ensuring that all technical and logistical requirements are met.
    – Track and reconcile event-related costs, including catering, venue fees, and participant travel reimbursements.
  • Participant & Employer Support:
    – Act as a point of contact for program participants and employers, answering questions and providing information on program logistics, schedules, and financial processes.
    – Assist in the preparation and distribution of program materials, such as training guides, schedules, and on-boarding packets for participants and employers.
    – Collaborate with the program team to ensure smooth operations and resolve any logistical or administrative challenges
  • Data Management & Reporting:
    – Assist in collecting and organizing data on program outcomes, including participant engagement, training completion, and job placements.
    – Contribute to the preparation of program reports for funders and stakeholders, ensuring accurate and up-to-date information.
    – Support the monitoring and evaluation process by maintaining organized records of participant progress and program milestones.

 

  • Qualifications & Experience:
    – Education: Diploma or degree in Business Administration, Finance, Accounting, or a related field. Equivalent experience will be considered.
    – Experience: Minimum of 2 years of experience in program administration, finance, or related roles. Experience with financial auditing, accounting, or bookkeeping is preferred.
    – Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
    – Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with financial tracking software.
    – Experience working with non-profits, community organizations, or employment programs is an asset.

 

  • Skills & Competencies:
    – Strong attention to detail and accuracy in financial tracking and reporting.
    – Excellent organizational and time management skills, with the ability to meet deadlines.
    – Ability to work independently and as part of a remote or hybrid team.
    – Effective communication skills, both written and verbal, with the ability to interact professionally with a variety of stakeholders.
    – Familiarity with financial auditing processes and best practices in financial compliance.
    – Cultural sensitivity and a commitment to working with marginalized populations, including NEET youth in diverse and remote communities.
